Title: Project Coordinator

Job Summary
We are seeking a motivated and detail-oriented Project Coordinator to join our team. The Project Coordinator will seek to support senior staff in the administrative responsibilities and perform complex technical work to support the successful planning, execution, and completion of capital projects for Indigenous Nations. This position requires a proactive individual who can coordinate project activities, facilitate collaborative working spaces, embraces strong interpersonal skills, and prioritizes tasks effectively.
Key Responsibilities
Project Support:
Acting as Owner’s Representative on capital projects within Indigenous Communities.
Assist PM in the planning, implementation, and monitoring of capital projects.
Preparing project documentation, scheduling meetings, and coordinating project activities.
Assist in evaluation and selection of project consultants and construction tendering.
Stakeholder Engagement:
Facilitate communication and collaborations between project teams, Indigenous communities, and external partners.
Ensure that all stakeholders are kept informed and engaged throughout the project lifecycle.
Serve as a liaison for both internal and external project communications.
Documentation and Reporting:
Maintain accurate project records, including meeting minutes, progress reports, and project schedules.
Prepare and distribute regular status updates.
Prepare special forms such as tender documents, service agreements, request for proposals.
Budget and Schedule Tracking:
Assist in monitoring project budgets and schedules, identifying potential issues, and recommending corrective actions to keep projects on track.
Reviewing and processing change documentation.
Risk Management:
Support the identification and mitigation of project risks.
Administrative Support:
Provide administrative support to the project team, including arranging travel, processing expense reports, and maintaining project files.
Coordinate project meetings for attendees with various schedule conflicts.
Maintain engagement logs and project tracking logs.
Research and write comprehensive funding applications.
Qualifications:
Minimum 2 years of experience in a project coordination or support role, preferable within the consulting or construction industry.
A Diploma or Bachelors Degree within a related field is preferred.
Strong understanding of Project Management Body of Knowledge (PMBOK) processes and methodologies.
Excellent organizational and multitasking skills with a high attention to detail.
Effective communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
Proficiency in MS Office Suite (Word, Excel, PowerPoint).
Knowledge of Indigenous cultures, values, and protocols is highly desirable.
Strong written and oral communications skills.
Ability to travel to project sites and Indigenous communities as required.
Drivers License
Schedule:
Full-Time Position.
Monday to Friday - 40hrs per week.
