Event Registration Coordinator

Status: Full-Time, Fixed-Term Employment Contract (September 1, 2026 – June 30, 2027), with potential for extension or conversion to a permanent role based on business needs and performance. 

Location:  Vancouver, BC This position requires regular attendance at our Vancouver office, with flexibility to work remotely when appropriate.

Job Description:

Are you a highly organized, detail-oriented event professional who enjoys delivering exceptional event experiences? C3 Alliance is seeking an Event Registration Coordinator to oversee attendee registration and customer support for some of Western Canada's premier conferences and events, including the BC Natural Resources Forum, Indigenous Resource Opportunities Conference, Resource Breakfast Series, and other high-profile events. Based in Vancouver, BC, this role is ideal for someone who thrives in a fast-paced environment, enjoys working with a diverse range of stakeholders, and takes pride in delivering accurate, seamless event operations. Working closely with attendees, sponsors, speakers, exhibitors, and internal event teams, you will play a key role in ensuring exceptional customer service, effective registration management, and successful event delivery from registration launch through to on-site execution. 

Responsibilities:

Reporting to the Vice President, Events and Communications, duties of the position include, but are not limited to:  

  • Coordinate and manage event registration for conferences and events with attendance of up to 1,800+ delegates.  

  • Manage the registration process for speakers ensuring accurate and timely record keeping. 

  • Monitor registration activity and provide regular reporting and updates on registration statistics to team.  

  • Set up, maintain, and oversee virtual event platforms and related registration systems.  

  • Provide technical support and guidance to delegates, sponsors, and exhibitors using virtual event software.  

  • Provide exceptional customer service by monitoring and responding to registration and event-related inquiries through conference email inboxes, phone calls, while supporting participants throughout the event lifecycle. 

  • Track and reconcile registration-related financials, including payments, invoicing, and reporting.  

  • Coordinate and oversee on-site registration operations, including the management of registration staff and volunteers.  

  • Prepare, organize, and distribute registration materials, including name badges and lanyards. 

  • Support event execution on-site to ensure a seamless and positive attendee experience.  

  • Participate in post-event evaluations and debrief meetings, providing feedback and recommendations for continuous improvement. 

Qualifications:

Successful candidates must have:  

  • 2+ years of event coordination, conference administration, registration management, or related experience, along with strong customer service skills. 

  • Proven ability to coordinate complex registration requirements for conferences and events, ensuring accuracy, data integrity, and a seamless attendee experience. 

  • Excellent written and verbal communication skills, with the ability to engage professionally with a diverse range of stakeholders. 

  • Strong organizational, analytical, and problem-solving abilities, with a proven capacity to manage competing priorities, meet deadlines, and adapt to changing event requirements. 

  • Highly detail-oriented, with a commitment to accuracy and quality in all areas of work.  

  • Self-motivated and capable of working independently while contributing to a collaborative team environment.  

  • Proven ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment.  

  • Proficient in Microsoft 365 and online collaboration tools, including Teams, Zoom, and SharePoint.  

  • Strong proficiency working with databases, spreadsheets, and registration platforms, with a high degree of accuracy and attention to detail. 

  • Experience with event management platforms, particularly Whova, is considered a strong asset.  

  • Familiarity with Harvest and Monday.com is considered an asset. 

  • Ability to work occasional evenings and travel to event locations as required.

Salary and Benefits:

  • Annual salary of $55,000–$60,000 based on experience
